These terms apply when you use iTOTS. By signing up, downloading the app, or logging in, you agree to them. iTOTS is operated by CEF.
Who can use iTOTS
- Schools — preschools, nurseries, daycares, primary and full schools, academies, after-school programs based in India.
- Staff of those schools — teachers, accountants, drivers, counsellors, fleet supervisors, school admins.
- Parents of students enrolled at those schools.
Students themselves do not sign in to iTOTS.
Setting up an account
Schools sign up either through our website or by speaking to our team. We may ask for documents proving the school exists and that you're authorized to set up the account. We may refuse to onboard a school at our discretion.
Parent and staff accounts are created by the school. Once your account exists, you log in with the temporary PIN we send to your email, then set your own PIN on first login. Don't share your PIN with anyone.
What you can do with iTOTS
You can use iTOTS to run your school's daily operations — attendance, fees, communication, exam marks, transport, photos, daycare, programs, and the other modules included in your plan. The school decides which modules are turned on.
What you cannot do
- Use someone else's account or try to log in as another user
- Upload content that's illegal, abusive, defamatory, or violates a child's privacy
- Try to extract data on other schools, other students, or other parents
- Reverse-engineer, decompile, or attempt to bypass our security
- Scrape or automate the use of iTOTS without our written permission
- Resell, rent, or sublicense access to iTOTS
- Use iTOTS for unrelated commercial purposes
Schools are responsible for their data
Schools enter or import student information, attendance, marks, fees, photos, and other content. Schools warrant that they have the right to upload that content — including consent from parents where required by law.
iTOTS is a processor, not a controller, of school data. We're not responsible for the accuracy of attendance you mark, the marks you enter, or the fee amounts you bill. Schools are.
Fees and payments to iTOTS
Schools pay iTOTS a monthly subscription based on their chosen plan (Starter, Growth, Pro, or Enterprise) plus any add-ons (extra storage, premium services). Invoices are issued by iTOTS to the school.
- All prices on our website are in Indian Rupees and exclude GST.
- GST at applicable rates is added on invoices.
- Subscriptions renew monthly unless cancelled before the renewal date.
- If a payment fails or is overdue by more than 14 days, we may suspend the school's access.
Fees that parents pay to schools
When parents pay school fees through iTOTS, the money goes from the parent's payment method through the school's own payment gateway account (e.g., Razorpay) and settles directly to the school's bank account. iTOTS does not hold parent fees and does not deduct a commission from them. The transaction is between the parent and the school. iTOTS only generates the invoice, issues the receipt, and reconciles the payment.
Free trials and pilots
We offer a 14-day free trial. During the trial we don't charge anything and you can use all modules in your plan. At the end of the trial, the school can choose to subscribe or stop using iTOTS. If you don't subscribe, your data is kept for 60 days then deleted unless you ask for it earlier.
Cancellation
Schools can cancel any time by writing to support@itots.in. Cancellation takes effect at the end of the current billing month. There's no lock-in, no exit fee. We don't pro-rate refunds for the unused portion of the month you cancel in. See our Refund Policy for the details.
Suspending or terminating accounts
We may suspend or terminate access if:
- The school doesn't pay on time
- We detect serious abuse or fraud
- A user repeatedly violates these terms
- We're legally required to
Where possible, we'll warn you first. In cases of urgent security risk, we may act without notice.
Intellectual property
iTOTS, our logo, app, web interface, source code, and underlying technology belong to CEF. You don't get any rights to them beyond using the service.
Content that schools, parents, and staff upload (student photos, attendance, marks, etc.) remains the property of the school, the parent, or the staff member who created it. By uploading it, you grant iTOTS a license to store and serve it back to authorized users — only for the purpose of running iTOTS for your school.
App stores
The iTOTS app is distributed through Google Play and the Apple App Store. Those platforms have their own terms that also apply when you download the app from them. If there's a conflict, the platform's terms take precedence over ours for issues related to the download itself.
Service availability
We aim for 99.5% monthly uptime. We don't promise zero downtime. Scheduled maintenance, third-party outages (payment gateway, SMS, email, push providers), and force majeure events are not counted as downtime.
Limits of liability
iTOTS is provided “as is”. We're not liable for:
- Loss of data caused by user error, third-party services, or events outside our control
- Incorrect data entered by school staff (wrong attendance, wrong fees, wrong marks)
- Indirect, incidental, or consequential losses
- Decisions a school, parent, or staff member makes based on what they see in iTOTS
Where liability cannot be excluded by Indian law, our total liability to a school in any 12-month period is capped at the amount the school paid iTOTS in that period.
Indemnity
Schools indemnify iTOTS against claims arising from the school's use of the service — for example, a parent disputing the accuracy of an invoice the school issued, or a third party claiming a school uploaded their child's photo without consent.
Governing law and disputes
These terms are governed by the laws of India. Disputes will be heard in the courts of Chennai, Tamil Nadu.
Changes to these terms
We may update these terms over time. When we do, we'll post the new version here and notify school admins by email. If you keep using iTOTS after a change, you've accepted it. If you don't agree, you can cancel.
